Review Status Codes

Define the review status codes your project gives contractors at final approval, such as Code A or Approved as Noted, and map them for reports.

Every project has its own way of telling a contractor the outcome of a review: “Code A / B / C”, “Approved”, “Approved as Noted”, “Revise and Resubmit”, and so on. Review Status lets each project define those words. The status is chosen at final approval, shared with the contractor, and used in the Submittal Log.

It is separate from Document Ocean 360’s internal review result (Approved, Rejected, Under review), so your team keeps one consistent workflow while each project speaks its contract’s language.

Project Admin Review statuses are set by Project Admins in Project Config → Review Status.

Setting Up Review Statuses

1

Name the field

Under Field name, enter what this status is called across the project, for example Review Status or Client Status.

2

Add status values

Under Status values, type a name and click Add for each code, for example Code A, Code B, Code C. Pick a colour for each one.

3

Choose what each one counts as

Set Counts as for every value (see below). Values without it are left out of report totals.

4

Decide whether it is required

Switch on Require on final approval to block a document's final approval until a review status is chosen.

5

Set the pending label

Under Before a status is given, enter what reports show while a revision is still under review.

Counts As

Reports show your project’s own words as they are. Counts as puts each value into a fixed group, so totals and colours line up across projects that use different codes.

GroupTypical codes
ApprovedCode A, Approved
Approved with commentsCode B, Approved as Noted
Revise and resubmitCode C, Revise and Resubmit
RejectedCode D, Rejected

Unmapped values

A value with no Counts as group is marked “Not in report totals until you choose”. The Submittal Log preview also warns you about it.

Using a Review Status

When an approver gives a document its final approval, they choose one of the project’s review status values. If the project requires a status, final approval cannot be completed without one. The chosen status is shared with the contractor and appears in reports.
