Managing Organizations

Create, configure, and manage your organization on the Document Ocean 360 platform.

Document Ocean 360 supports multi-tenant architecture where each organization operates in a fully isolated environment. The Managing Organizations page gives Admins a complete view of their organization on the platform.

Admin This section is available to Org Admins. Organization management is accessed from the Admin Dashboard.

Organizations Table

The main view displays all organizations in a sortable, searchable table with key information at a glance.

Organization Table Columns

Name Required

The organization's display name as configured by its Org Admin.

Plan Required

The current subscription tier — Starter, Professional, or Enterprise.

Status Required

The organization's current state: Active, Suspended, or Trial.

Users

Total number of registered users within the organization.

Documents

Total document count across all projects within the organization.

Storage Used

Current storage consumption displayed as a percentage of the plan limit.

Created

The date the organization was created on the platform.

Organization Status

Each organization has one of the following statuses:

Active The organization is fully operational. All users can log in and access their projects.

Suspended The organization is temporarily disabled. Users cannot log in, but all data is preserved. This is typically applied for billing issues or policy violations.

Trial The organization is on a time-limited trial. A banner is shown to Org Admins with the remaining trial days and an upgrade prompt.

Creating an Organization

Click Create Organization

From the Organizations page, click the Create Organization button in the top-right corner.

Enter organization details

Provide the organization name, select a subscription plan, and set the initial storage quota.

Assign an Org Admin

Enter the email of the person who will be the first Org Admin. They'll receive an invitation to set up their account.

Configure defaults

Optionally set default timezone, industry, and notification preferences for the new organization.

Confirm and create

Review the details and click Create. The organization is immediately active and the Org Admin invitation is sent.

Suspending an Organization

Suspension is a reversible action that disables all access to an organization while preserving its data. Common reasons include unpaid invoices, security incidents, or administrative review.

Impact of suspension

When an organization is suspended, all users under that organization are immediately locked out. Running workflows are paused, scheduled transmittals are held, and API access is revoked. Data remains intact and the organization can be re-activated at any time.

To suspend an organization, click the three-dot menu on the organization row and select Suspend. You’ll be prompted to provide a reason, which is logged in the platform audit trail.

Re-activating & Deleting

  • Re-activate — Restores full access to a suspended organization. Users can log in immediately and paused workflows resume.
  • Delete — Permanently removes the organization and all associated data including users, documents, projects, and workflows. This action requires double confirmation and cannot be undone.

Deletion is permanent

Deleting an organization erases all data irreversibly. Always confirm with the organization’s Org Admin before proceeding. Consider exporting critical data or creating a backup first.
