Notifications

Stay informed with real-time notifications for document updates, workflow actions, transmittals, and team activity.

Document Ocean 360 delivers notifications through multiple channels so you never miss a critical document update, approval request, or team action. Notifications are organized by category and fully customizable per user.

Notification Types

The system generates notifications across four main categories. Each category can be independently toggled on or off for both in-app and email delivery.

Notification Categories

Document Notifications Required

Triggered when a document you watch or own is uploaded, revised, status-changed, or commented on.

Workflow Notifications Required

Sent when a review or approval workflow is initiated, assigned to you, completed, or rejected.

Transmittal Notifications

Alerts when a transmittal is issued to you, acknowledged, or when a response is overdue.

Team Notifications

Updates about new team members joining, role changes, or project assignments that affect you.

Notification Channels

Every notification can be delivered through two channels:

  • In-App — A real-time badge and dropdown accessible from the bell icon in the top navigation bar. Unread notifications are highlighted and counted.
  • Email — A formatted email sent to your registered address. Email digests can be configured as instant, hourly, or daily summaries.

Member All organization members receive notifications by default. Individual preferences override the defaults.

Configuring Your Preferences

You can fine-tune which notifications you receive and how they are delivered from your notification settings page.

Open Notification Settings

Click your avatar in the top-right corner and select Settings, then navigate to the Notifications tab.

Review each category

Each notification category shows toggles for In-App and Email channels. Enable or disable them as needed.

Set email frequency

Choose between Instant, Hourly Digest, or Daily Digest for email notifications. Instant is recommended for workflow approvals.

Save preferences

Click Save Changes. Your new preferences take effect immediately for all future notifications.

Recommended notification settings

For most users, we recommend keeping Document and Workflow notifications enabled on both channels, and setting Team notifications to in-app only. This ensures you catch critical actions without inbox overload.

Managing Notifications

The notification panel in the top navigation shows your most recent alerts. You can:

  • Mark as read — Click a notification to mark it as read and navigate to the related item.
  • Mark all as read — Clear all unread badges at once from the panel header.
  • Filter by type — Use the category tabs (All, Documents, Workflows, Transmittals, Team) to focus on specific notification types.

Notification retention

Notifications are retained for 90 days. After that, they are automatically archived. You can still view archived notifications from the notification history page.

Admin Controls

Admin Organization Admins can configure default notification settings for new users that join the organization. This ensures consistent notification behavior across the team without requiring each user to manually configure preferences.

Admins can also enforce mandatory notifications for critical workflow events (such as overdue approvals) that users cannot disable.
