Creating Your Account

Sign up for Document Ocean 360, verify your email, and complete your profile so you're ready to collaborate on your first project.

Getting started with Document Ocean 360 takes less than two minutes. Whether you’re creating a brand-new organization or joining an existing team via invitation, this guide walks you through every step.

Enter your email address

Navigate to the signup page and enter your work email address. We recommend using your company email so teammates can find and invite you easily.

Create a strong password

Choose a password with at least 12 characters, including uppercase, lowercase, a number, and a special character. Document Ocean 360 enforces strong password policies to protect your project data.

Verify your email

Check your inbox for a verification email from noreply@documentocean360.com. Click the verification link — it expires in 24 hours. If you don't see it, check your spam folder.

Complete your profile

Fill in your name, job title, company, and phone number. This information appears on transmittal cover sheets and document metadata, so accuracy matters.

Create or join an organization

If you're the first person from your company, create a new organization. If a colleague already set one up, ask them to send you an invitation link instead.

Joining via invitation?

If a teammate sent you an invitation link, you can skip straight to step 3. The invitation pre-fills your email and automatically assigns you to the correct organization and project with the role your admin selected.

Invitation links expire after 7 days. Ask your admin to resend if the link has expired.


Profile fields

After verifying your email, you’ll be asked to complete your profile. Here’s what each field is used for:

Profile Information

First Name Required

Your given name. Appears on document metadata, transmittal cover sheets, and the team directory.

Last Name Required

Your family name. Combined with your first name for display across the platform.

Job Title Required

Your professional title (e.g., Document Controller, Project Engineer). Shown in team lists and on transmittals.

Company / Organization Required

The name of your company. Auto-filled if you joined via invitation. Used for filtering and access control.

Phone Number

A contact number for urgent document-related communication. Visible only to project admins.

Department

Your department or discipline (e.g., Mechanical, Electrical, Civil). Helps with document routing and workflow assignments.

Profile Photo

A profile picture that appears in comments, activity feeds, and the team directory. Max 2 MB, JPG or PNG.

You can update these anytime

All profile fields can be edited later from Settings → Profile. Changes take effect immediately across all your projects.


Understanding your role

When you join an organization, you’re assigned one of several roles. Your role determines what actions you can perform. Here’s how the roles break down:

Full administrative control Manage subscription & billing Invite and remove users Manage organization settings & templates
Manager
Create and manage projects Create and run document workflows Send transmittals and generate reports Invite contributors to their projects
Member
Upload and revise documents Participate in assigned workflows Comment and collaborate on documents View project dashboards and activity
Viewer
Read-only access across the organization Download approved documents only View dashboards (no editing) No upload or workflow participation

Most users joining via invitation start as a Member or Contributor . An Admin can upgrade your role at any time from the Team settings page.

After signup — what’s next?

Once your account is created and your profile is complete, you’ll land on your dashboard. If you were invited to a project, it will already appear in your sidebar. If you created a new organization, your next step is to create your first project.

First-time setup for admins

If you’re the organization owner, we recommend completing these steps before inviting your team:

  1. Configure organization settings — Set your company name, logo, and default document numbering scheme
  2. Create your first project — Define the project name, number, disciplines, and document types
  3. Set up workflow templates — Create reusable approval and review workflows
  4. Invite your team — Send invitations with the appropriate roles assigned
