Task Accountability

Monitor overdue, due-today, and approaching tasks across your whole organization — plus idle documents — and send one-click reminder nudges to assignees, with working-day windows that respect your business calendar.

The Accountability dashboard gives organization administrators a single view of every task that is overdue, due today, or approaching its deadline — across all projects — together with a one-click way to remind the people responsible.

Instead of chasing status in meetings or email, you can see exactly which assignments are slipping, filter down to the project, person, or time window you care about, and nudge assignees directly from the dashboard.

Who Can Use It

Org Admin Admin

The Accountability dashboard is available to organization Super Admins and Admins. Regular members do not see other people’s task lists — they continue to see their own tasks on their personal dashboard. (Both organization and project admins can send nudges.)

What You See

The dashboard header summarizes the state of play — for example, “5 overdue · 8 approaching · 2 idle” — and groups the rows into labelled sections:

Overdue

Assignments whose due date has passed without completion.

Due today

Assignments that fall due before the end of today.

In queue — approaching

Assignments coming due within the working-day window you choose.

Every row shows the assignee, the project it belongs to, and its due date (with friendly phrasing such as “3d overdue”, “due today”, or “due in 2d”), so you immediately know who to follow up with and where.

Working days, not calendar days

The approaching window counts working days using your organization’s business calendar — weekends and configured holidays are skipped. A task due Monday shows as “approaching” on Friday with a 1-day window.

Idle Documents

Beyond tasks, the dashboard can surface idle documents — documents that have sat untouched and need a push. A document counts as idle when it has had no activity for the configured number of working days and has no active workflow, no open document-control intake, and is not in a final/terminal status. Idle documents appear as their own rows (and feed the “N idle” count in the header).

Off by default

Idle-document scanning only runs once an admin sets a document idle threshold in organization settings. Until then, the dashboard shows tasks only.

Sending a Nudge

Find the task

Use the bucket, sort, window, project, assignee, and client controls to surface the work that needs attention.

Click Nudge

Each row has a one-click nudge action that sends the assignee a reminder notification referencing the specific task.

Follow up

Assignees receive the reminder through their normal notification channels and can jump straight to the task.

Nudge cooldown

To prevent reminder spam, there is a cooldown between nudges for the same task (4 hours by default, configurable per organization). If you try again too soon, the dashboard tells you when the next nudge is allowed.

Administrators set the defaults that shape the dashboard under Settings → Organization:

Approaching window

The default working-day window every admin starts from. Individuals can still adjust it for their own view.

Nudge cooldown (hours)

How long to wait before the same task can be nudged again.

Default task due days

When set, new tasks are automatically given a due date this many working days out — so the approaching/overdue signal works without setting each due date by hand.

Document idle days

The working-day threshold after which an untouched document is flagged as idle. Leave empty to keep idle scanning off.
