Uploading Documents
Learn how to upload single or bulk documents, understand supported file types, and fill in required metadata for your engineering project.
/projects/:id/documents/upload Document Ocean 360 supports uploading individual files or entire batches of documents to your project. Every uploaded document is tracked with full metadata, revision history, and access control from the moment it enters the system.
Required Role
ContributorYou must have Contributor or higher access on the project to upload documents. Viewers can browse and download but cannot add new files.
Upload Flow
Navigate to the Document Register
Open your project and go to the Documents section. Click the Upload button in the top-right corner of the register.
Select Files
Drag and drop files onto the upload zone or click Browse to select files from your computer. You can select multiple files at once for bulk upload.
Fill In Metadata
For each file, complete the required metadata fields — document title, number, type, discipline, and revision. You can apply shared metadata across all files in a bulk upload.
Review & Confirm
Review the file list, metadata, and any validation warnings. Click Upload to submit all documents to the project register.
Verification
After upload, each document appears in the register with a Draft status. You'll receive a confirmation summary showing successful and failed uploads.
Upload Form Fields
Document Upload Fields
A descriptive, human-readable title for the document (e.g. "Structural Steel Framing Plan — Level 3").
The unique document identifier following your project's numbering convention (e.g. STR-DWG-0042). Must be unique within the project.
The category of the document — Drawing, Specification, Report, Datasheet, Procedure, Calculation, or other configured types.
The engineering discipline the document belongs to — Civil, Structural, Mechanical, Electrical, Piping, Instrumentation, etc.
The revision code for this version of the document (e.g. A, B, 01, 02). Defaults to the first revision code defined in your project settings.
An optional longer description or notes about the document content, scope, or context.
Supported File Types
Document Ocean 360 accepts all standard engineering and office file formats including PDF, DWG, DXF, DOCX, XLSX, PPTX, JPEG, PNG, TIFF, and XML. The maximum file size per document is 250 MB.
Blocked File Types
For security, executable and script files are permanently blocked and cannot be uploaded under any circumstances. This includes .exe, .bat, .cmd, .ps1, .sh, .msi, .com, .vbs, .js, .py, and .scr files. Attempting to upload a blocked file type will reject the entire file — other files in a bulk upload are not affected.
Bulk Upload
Bulk Upload Tip
When uploading many documents at once, use the Apply to All option to set shared metadata (discipline, document type, or revision) across every file in the batch. You can then override individual fields as needed. This can save significant time when onboarding large document sets from legacy systems or external transmittals.
Bulk uploads support up to 100 files per batch. For larger imports, use multiple batches or contact your administrator about the CSV-based bulk import tool.
What Happens After Upload
Once uploaded, each document is assigned:
- A Draft status, visible in the document register
- A full revision history entry recording the initial upload
- An activity log entry with the uploader’s name, timestamp, and file details
- Automatic file type detection for preview eligibility (PDFs and images get instant previews)
Documents are immediately available to all project members with appropriate access.
