Project Settings

Configure numbering schemes, document types, disciplines, and general project settings in Document Ocean 360.

Project Settings let you tailor Document Ocean 360 to match your project’s document control requirements. From numbering schemes to discipline lists, everything is configurable per project.

Only users with the Project Admin role can access and modify project settings.

General Settings

The General tab contains the core project information that was set during creation. Most fields can be updated at any time.

Project Name Required

The display name of the project. Changing this updates it across all views, transmittals, and reports.

Client Name Required

The client or owner organization. Appears on transmittal cover sheets and exported reports.

Description

A free-text summary of the project scope, phase, or purpose.

Project Type Required

The category of work (Building, Infrastructure, Oil & Gas, etc.). Used for organization-level reporting.

Expected Completion Date

The anticipated completion date. Displayed on the dashboard and used in timeline reports.

Project Logo

Upload or replace the project logo (PNG or SVG, max 2 MB). Shown on transmittals and PDF cover sheets.

Project Status Required

Set the project to Active, On Hold, or Archived. Archived projects become read-only.

Time Zone Required

The project's primary time zone. All deadlines and timestamps are displayed in this zone.

Numbering Scheme

The numbering scheme controls how document numbers are automatically generated when new documents are registered. A well-designed scheme ensures consistency and traceability across the entire project.

Why Numbering Matters

Document numbers are the backbone of engineering document control. They encode critical metadata — project, discipline, document type, and sequence — into a single identifier. A consistent numbering scheme prevents duplicates, simplifies searches, and is often a contractual requirement on engineering projects.

Customizing the Numbering Scheme

Open the Numbering tab

In Project Settings, click the Numbering tab. You'll see the current scheme displayed as a pattern with sample output.

Define the segments

A numbering scheme is built from segments. Each segment represents a piece of the document number. Common segments include: Project Code, Discipline Code, Document Type Code, Originator, and Sequential Number.

Set the separator

Choose the character that separates segments — typically a hyphen (-) or period (.). For example: ART-CIV-DWG-0001 uses hyphens.

Configure the sequential counter

Set the starting number (usually 0001) and the number of digits (typically 4). The counter auto-increments each time a document is registered in that combination of segments.

Preview and save

The preview area shows example document numbers generated from your scheme. Verify they match your project's requirements, then click Save.

Changing the Scheme After Documents Exist

If documents have already been registered, changing the numbering scheme will only apply to new documents. Existing document numbers are never retroactively changed. Plan your scheme carefully before uploading documents.

Document Types

Define which document types are available when registering documents in this project. Common types include:

  • DWG — Drawing
  • SPC — Specification
  • REP — Report
  • CAL — Calculation
  • SCH — Schedule
  • COR — Correspondence
  • MOM — Minutes of Meeting
  • MDR — Material Data Report

You can add custom types specific to your project. Each type has a code (used in numbering) and a display label.

Disciplines

Disciplines define the engineering or functional areas within the project. They are used for:

  • Filtering documents in the register.
  • Scoping reviewer access (reviewers can be assigned specific disciplines).
  • Numbering scheme segments.

Common disciplines include Civil, Structural, Mechanical, Electrical, Instrumentation, Piping, HVAC, and Architectural. Add or rename disciplines to match your project’s structure.

Discipline Configuration

Discipline Code Required

A short uppercase code (2–5 characters) used in document numbers. e.g., CIV, MEC, ELE.

Discipline Name Required

The full display name of the discipline. e.g., Civil Engineering.

Default Reviewers

Optionally assign default reviewers for this discipline. They will be auto-suggested when a review workflow is started for documents in this discipline.

Notifications & Reminders

Configure how the project sends notifications to team members:

  • Review reminders — send automatic reminders N days before a review deadline.
  • Overdue alerts — notify project admins when a review becomes overdue.
  • Transmittal confirmations — send receipts when transmittals are issued.
  • Daily digest — option for members to receive a daily summary instead of individual emails.

Reducing Notification Noise

Enable the Daily Digest option for large teams. Instead of dozens of individual emails, each member gets one summary each morning with all updates from the previous day.
