Transmittal Details

Explore the transmittal detail page in Document Ocean 360 — view included documents, track acknowledgment status, download PDF cover sheets, and monitor the full activity log.

The transmittal detail page is the single source of truth for everything related to a specific transmittal — what was sent, when it was sent, to whom, and whether it has been acknowledged. It provides contributors and project admins with complete visibility into the document issuance process.

Detail Page Sections

The transmittal detail page is organized into clearly defined sections, each designed to give you the information you need at a glance.

Header & Summary

The top of the page displays the transmittal number, subject, and current status. The status badge updates in real time as the transmittal progresses through its lifecycle:

  • Draft — The transmittal has been created but not yet sent. It can still be edited.
  • Sent — The transmittal has been issued to the recipient and is awaiting acknowledgment.
  • Acknowledged — The recipient has confirmed receipt of the transmittal.
  • Overdue — The due date has passed without acknowledgment from the recipient.

Transmittal Information

Transmittal Details

Transmittal Number Required

The unique auto-generated identifier for this transmittal (e.g., TRN-0042).

Subject Required

The description provided when the transmittal was created.

From Required

The user who created and sent the transmittal, along with their company.

To Required

The recipient company or contact the transmittal was addressed to.

Purpose Required

The reason for issuance — For Review, For Approval, For Construction, etc.

Sent Date Required

The exact date and time the transmittal was issued.

Due Date

The deadline for acknowledgment, if one was set. Displayed with a countdown indicator when approaching.

Notes

Any additional remarks or instructions included by the sender.

Document List

The documents section shows every document included in the transmittal, along with the specific revision that was issued. Each row displays:

  • Document number and title
  • Revision code (e.g., Rev A, Rev 02)
  • Document status at the time of transmittal
  • A direct download link to the attached file

This section acts as a permanent snapshot — even if the document is later revised, the transmittal always reflects exactly what was sent.

Acknowledgment Status

The acknowledgment panel shows whether the recipient has confirmed receipt:

Pending The transmittal has been sent but no acknowledgment received yet.
Acknowledged The recipient has confirmed receipt, with the timestamp recorded.
Overdue The due date has passed without acknowledgment.

When acknowledged, the panel displays the acknowledging user’s name, company, and the exact date and time.

Activity Log

Every action taken on the transmittal is recorded in a chronological activity log at the bottom of the page. Entries include:

  • Transmittal created
  • Transmittal sent (with recipient details)
  • Email notification delivered
  • Transmittal viewed by recipient
  • Transmittal acknowledged
  • Transmittal resent (if applicable)
  • Transmittal marked as overdue

Each entry includes a timestamp and the identity of the user or system that triggered the event.

Downloading the PDF Cover Sheet

PDF Cover Sheet

Every transmittal in Document Ocean 360 can be downloaded as a professionally formatted PDF cover sheet. This document includes the transmittal number, sender and recipient details, the purpose, the full list of attached documents with revision codes, and any notes. It mirrors the traditional paper-based transmittal form used in engineering and construction — ideal for printing, attaching to physical document packages, or archiving in external systems. Click the Download Cover Sheet button at the top of the detail page.

The cover sheet is generated on demand and always reflects the current state of the transmittal, including acknowledgment status.

Resending a Transmittal

If a recipient hasn’t received the notification or needs a reminder, contributors can resend the transmittal without creating a duplicate record.

Open the transmittal detail page

Navigate to the transmittal you want to resend from the transmittals list.

Click the Resend button

In the top-right actions menu, click Resend Transmittal. This option is only available for transmittals with Sent or Overdue status.

Confirm the action

A confirmation dialog will appear. Optionally add a note that will be included in the new notification email.

Notification is sent

The recipient receives a fresh email notification. A 'Transmittal resent' entry is added to the activity log with a timestamp.

Resend Limits

To prevent notification fatigue, a transmittal can only be resent once every 24 hours. If you need to contact the recipient urgently, consider reaching out through other channels.

Status Lifecycle

A transmittal moves through a defined lifecycle. Understanding these transitions helps contributors manage their transmittal registers effectively:

  1. Draft — Created but not yet issued. Editable.
  2. Sent — Issued to the recipient. Immutable.
  3. Acknowledged — Receipt confirmed by the recipient. Final state.
  4. Overdue — Due date passed without acknowledgment. Can still be acknowledged.
