Creating a Project

Learn how to create and configure a new project in Document Ocean 360, including naming conventions, project codes, and initial setup.

Projects are the top-level containers in Document Ocean 360. Every document, transmittal, and workflow lives inside a project. Creating a well-structured project from the start ensures smooth document control throughout the lifecycle of your engineering or construction engagement.

Who Can Create Projects?

Only users with the Manager or Admin organization role can create new projects. If you don’t see the New Project button on the Projects page, contact your organization administrator to request the appropriate permissions.

Step-by-Step Guide

Navigate to the Projects page

From the main sidebar, click Projects. Then click the New Project button in the top-right corner.

Enter project details

Fill in the project name, project code, client name, and description. Select the project type and expected completion date.

Configure initial settings

Choose a numbering scheme template, select default document types, and set the project discipline list. These can be changed later in Project Settings.

Add team members

Invite team members and assign their project roles. You can add members from your organization or invite external contributors via email.

Review and create

Review all configured details on the summary screen. Click Create Project to finalize. You'll be redirected to your new project dashboard.

Project Form Fields

Project Details

Project Name Required

A descriptive name for the project (e.g., 'Al Reem Tower – MEP Package'). Max 120 characters.

Project Code Required

A unique short code used in document numbering (e.g., 'ART-MEP'). 3–10 alphanumeric characters, uppercase. Cannot be changed after creation.

Client Name Required

The name of the client or owner organization for this project.

Description

A brief summary of the project scope, location, or purpose.

Project Type Required

The category of work — e.g., Building, Infrastructure, Oil & Gas, Industrial.

Expected Completion Date

The anticipated project completion date. Used for reporting and timeline views.

Numbering Scheme Required

Select a predefined numbering template or choose 'Custom' to define your own. Controls how document numbers are generated.

Logo

Upload a project logo (PNG or SVG, max 2 MB). Displayed on transmittals and cover sheets.

Project Code is Permanent

The Project Code is embedded into every document number generated within the project. Once the project is created, the code cannot be changed. Double-check the code before proceeding — typos here will follow you for the entire project lifecycle.

Naming Conventions

Establish a consistent naming convention across your organization. A common pattern is [CLIENT]-[DISCIPLINE]-[PHASE] (e.g., ADNOC-CIV-DD). Consistent codes make cross-project reporting and search far more effective.

What Happens Next?

After creating a project, you’ll land on the Project Dashboard where you can begin uploading documents, configuring workflows, and managing your team. The project will appear in the sidebar for all assigned members.
