Document Register
Explore the central document register — the master table of all project documents with powerful filtering, sorting, and search capabilities.
/projects/:id/documents The Document Register is the central hub for every document in your project. It provides a comprehensive, sortable, and filterable table view of all uploaded documents — giving your team a single source of truth for document status, ownership, and history.
Register Columns
Register Table Columns
The unique identifier for the document, following the project's numbering convention. Clicking this opens the document detail page.
The descriptive title of the document. Supports full-text search across all documents in the register.
The current active revision code (e.g. A, B, 01, 02). Only the latest revision is shown in the register by default.
The current workflow status of the document. Status determines what actions are available and who can modify the document.
The engineering discipline the document belongs to — used as a primary filter for large registers.
The category of the document (Drawing, Specification, Report, etc.).
The user who uploaded or created the document. Useful for tracking accountability.
Timestamp of the most recent change — upload, metadata edit, status transition, or new revision.
Document Statuses
Every document in the register displays one of the following status indicators:
- Draft — The document has been uploaded but not yet submitted for review. It can be freely edited by the originator.
- Under Review — The document has been submitted into a review workflow and is awaiting approval or comments.
- Approved — The document has passed review and is approved for use. Metadata is locked unless a new revision is created.
- Superseded — A newer revision of this document exists. The superseded version is retained for audit purposes but is no longer the active revision.
Status Filtering
You can filter the register to show only documents in a specific status. This is especially useful during review cycles — filter to Under Review to see all documents awaiting action, or Approved to confirm which documents are cleared for construction.
Filtering the Register
The register supports multi-criteria filtering to help you find exactly what you need, even in projects with thousands of documents.
Open the Filter Panel
Click the Filter icon in the register toolbar to expand the filter panel. All available filter criteria are displayed.
Select Filter Criteria
Choose one or more filters: Status, Discipline, Document Type, Originator, or Date Range. Each filter supports multiple selections.
Apply Filters
Click Apply to refresh the register with your filter criteria. The active filter count is displayed on the filter icon. Filters persist across page navigation within the session.
Save Filter Presets
For filters you use frequently, click Save Preset to store the combination. Presets are available from the filter dropdown for quick access.
Searching
The register includes a global search bar that performs full-text search across document numbers, titles, and descriptions. Search results update in real time as you type, and matching terms are highlighted in the results.
For more targeted searches, combine search with active filters — for example, search for “foundation” with the Discipline filter set to “Civil” to find all civil foundation documents.
Sorting
Click any column header to sort the register by that column. Click again to toggle between ascending and descending order. The current sort column and direction are indicated by an arrow icon in the header.
Default Sort Order
By default, the register sorts by Last Updated (newest first) so recently changed documents appear at the top. You can change the default sort in your user preferences.
Exporting
The register can be exported to CSV or Excel format for offline review, reporting, or integration with other systems. Exports respect your current filters — only visible documents are included in the export file.
