Navigating the App
Learn how to move through Document Ocean 360 efficiently — from the sidebar and breadcrumbs to global search, notifications, and data tables.
Document Ocean 360 is built for speed. Whether you’re a document controller managing thousands of drawings or a reviewer checking a single submittal, every feature is designed to be reachable in two clicks or less.
This guide covers the core navigation patterns you’ll use every day.
Sidebar
The sidebar is fixed on the left edge of every page. It’s organized into logical groups that mirror the document control workflow:
Dashboard
Stats overview, activity feed, and your pending tasks.
Projects
Switch between projects, view project details, and manage settings.
Documents
The full document register with upload, revision, and filtering tools.
Transmittals
Create, track, and manage transmittal packages.
Workflows
Active review/approval cycles and workflow templates.
Reports
Generate status summaries, audit logs, and document registers.
Admin & Settings
Organization settings, user management, and role configuration.
The sidebar highlights your current location with an active indicator. You can collapse it by clicking the menu icon in the top-left corner — ideal for smaller screens or when you need maximum table width.
Breadcrumbs
Every page displays a breadcrumb trail below the top navigation bar. Breadcrumbs show your exact location in the hierarchy:
/projects/PROJ-001/documents/MEC-DWG-001 This tells you: Home → Projects → PROJ-001 → Documents → MEC-DWG-001
Click any segment to jump directly to that level. Breadcrumbs are especially valuable when you’ve drilled deep into a document’s revision history or workflow details and want to return to the project overview without using the back button.
Global search
The fastest way to find anything in Document Ocean 360 is the global search. It searches across all projects you have access to and returns results from documents, transmittals, users, and settings.
Open the search overlay
Press Ctrl + K (or ⌘ + K on Mac), or click the search icon in the top navigation bar. The search overlay appears instantly over your current page.
Type your query
Enter a document number, title, discipline code, transmittal reference, or even a person's name. Results appear as you type — no need to press Enter.
Filter results by category
Use the tab bar at the top of the results pane to narrow results to Documents, Transmittals, Users, or Projects. Each category shows a count of matches.
Navigate to the result
Click any result to navigate directly to it. Use arrow keys and Enter for keyboard-only navigation. Your recent searches are saved for quick re-access.
Keyboard shortcuts for power users
Document Ocean 360 supports several keyboard shortcuts to keep you in flow:

Notifications
The bell icon in the top-right corner shows your notification center. Notifications alert you to events that require your attention:
- A document was assigned to you for review
- A transmittal you sent was acknowledged (or not)
- Someone commented on a document you’re watching
- A workflow step you own is approaching its deadline
- An admin changed your role or project assignment
/notifications Unread notifications show a red badge with the count. Clicking a notification takes you directly to the relevant document, transmittal, or workflow. You can mark individual items as read, or use Mark all as read to clear the list.
Email notifications
By default, you also receive email notifications for high-priority events (overdue tasks, role changes, and new assignments). You can customize which events trigger emails in Settings → Notifications.
Data tables
Most pages in Document Ocean 360 — the document register, transmittal list, user directory — display data in interactive tables. These tables are built for handling large datasets efficiently.
Table Features
Click any column header to sort ascending or descending. A small arrow indicates the active sort direction. Sorting persists until you change it.
Click the filter icon on any column header to filter rows by specific values, date ranges, or text. Multiple column filters can be combined for precise results.
Click the columns button to show or hide specific columns. Your column preferences are saved per table and persist across sessions.
The search bar above the table filters rows in real time as you type. It searches across all visible columns simultaneously.
Select multiple rows using checkboxes, then use the action toolbar to perform batch operations — download, transmit, change status, or export.
Large datasets are paginated. Choose between 25, 50, or 100 rows per page. The total count is always visible at the bottom of the table.
Export the current table view (with all active filters applied) to CSV, Excel, or PDF. Exports respect your column visibility settings.
Each row has a three-dot menu (⋮) with contextual actions: view, edit, download, start workflow, add to transmittal, or view revision history.
Save your favorite table views
After configuring filters, sorting, and visible columns, click Save View to store the configuration. Saved views appear as tabs above the table, so you can switch between “My Pending Reviews”, “All Electrical Drawings”, or any custom view in one click.
Page layout patterns
Document Ocean 360 uses consistent layout patterns so you always know what to expect:
- List pages (documents, transmittals, users) — Data table with filter bar, search, and action buttons at the top
- Detail pages (single document, single transmittal) — Header with metadata, tabbed content below (details, revisions, workflow, comments)
- Form pages (new document, edit profile) — Clean form layout with validation, required field indicators, and a sticky save button
- Settings pages — Left sub-navigation with grouped setting categories

- Use search, not browsing — With
Ctrl + K, you can find any document faster than clicking through folders - Bookmark detail pages — Document URLs are permanent and shareable. Bookmark frequently accessed documents in your browser
- Use saved table views — Cut repetitive filtering by saving views for your most common queries
- Collapse the sidebar — When working with wide tables, collapse the sidebar with
Ctrl + /for extra screen space - Check notifications first — Start your day by clearing notifications to ensure nothing overdue slips through
Users with the Admin or Manager role will see additional navigation items for user management, audit logs, and organization settings.
